Job Description

Job Title:                 Spares Administrator

Reports To:             Paul Winch

Business Unit:        Hobart UK Service

Purpose of Job:     To supply full customer support to all customers’s purchasing over the counter spare parts.

 

Deliverables of the role include, but are not limited to:

 

  • Identify spare parts numbers for customers
  • Liaise with purchasing team to obtain exact due dates on parts for customer enquires/ orders and quotes
  • Ensure customer specific administration procedures are adhered to.
  • Purchase Order entry
  • Customer portal upkeep
  • Process customer parts returns requests through internal system
  • Liaise with courier companies to ascertain correct deliveries for parts orders.
  • Answer customer spare parts enquiries
  • Confirm despatching of parts order and process customer invoices and credit note queries
  • Undertake any other duties as appropriate within your competence, as required by line manager.

  • Basic Microsoft Office knowledge – Word, Excel, Outlook & Teams

  • Enthusiastic and self-motivated outlook

  • Good numeracy and literacy skills

  • Previous parts knowledge desirable

  • Previous technical experience desirable

Hours of Work

 

To cover office hours from 8.30 to 17.00 on a rota. To apply company procedures and administration policy. It is essential to have a full understanding of customers specific requirements and ensure that customer specific administration procedures are followed.
