The Legal Administrative Assistant will provide overall administrative support to the Corporate Governance, Litigation and Compliance functions within the Legal Department.

Essential Job Functions

  • Partners with other members of the Corporate Governance, Litigation & Compliance Team to review existing processes and coordinate the development and implementation of simplified procedures
  • Reviews, recommends and implements effective knowledge management and information sharing practices within the Team, including partnering with internal IT team to identify potential technology solutions
  • Efficiently and accurately revises legal documents; maintains proper version control of track changes/’redline’ documents and proofreads drafts for spelling, grammar and layout, making appropriate changes
  • Drafts and prepares routine correspondence, and assists with preparation and revision of presentations, memos, reports, charts, tables, graphs, etc.
  • Works independently and within a team on special projects.  Activities may include: overall project management, planning and coordinating presentations, meetings and other events, disseminating information, coordinating communications and scheduling
  • Acts as liaison with other departments and internal business leaders, and third parties including outside customers and vendors
  • Schedules and organizes travel arrangements with American Express (e.g. air and ground transportation, lodging, etc.), meetings and conferences and processes travel and expense reports through Concur
  • Coordinates audio/visual technology for global team and other meetings and presentations
  • Establishes and maintains files / filing system, and retrieves information from files
  • Works in cooperation and collaboration with other assistants, including helps occasionally with work overload and will cover others’ area of responsibility when needed e.g. vacations or other absences
  • Assists with general calendar maintenance and schedules meetings, catering needs, conference calls, etc. as requested

Required Education and Experience

  • 5 + years of corporate and/or law firm administrative support experience
  • Experience in a law firm or legal industry strongly preferred
  • Proactive, self-starter who can multi-task and prioritize workload effectively while working in a fast-paced global team environment
  • Solid interpersonal and clear communication skills; values collaboration and seamlessly coordinates with Team members
  • Commitment to high performance and a positive, can-do attitude
  • Technology savvy, with the ability to partner effectively with Corporate IT function to identify technology solutions that can drive greater efficiency
  • Continuous learner who can adapt to a dynamic business environment and views strategic change as a positive opportunity
  • Strong organizational skills and attention to detail
  • Must handle confidential, proprietary and sensitive information with the highest degree of integrity and confidentiality
  • Open to coaching and constructive feedback and able to apply lessons learned
  • Advanced expertise in Microsoft Word, Excel and PowerPoint
  • Work with minimal supervision

Work Environment

  • This position operates in a professional office environment.  This role routinely uses standard office equipment such as computers, phones, photocopiers and fax machines.
  • While performing the essential functions of this job the employee is frequently required to stand, walk, and sit, with some lifting and moving of up to five pounds.

Physical Demands

  • This is largely a sedentary role; however, filing is required. This would require the ability to lift files, open file cabinets and bend or stand as necessary.

Position Type and Expected Hours of Work

  • This is a full-time position. Days and hours of work are Monday through Friday, 8:30 a.m. to 5 p.m.  (Some flexibility in work hours)
