Job Description

The Corporate Real Estate Coordinator will provide a full range of support to the Real Estate team. The ideal candidate will have solid project coordination and interpersonal skills in liaising with all levels of internal management, staff, outside clients and vendors.                     

KEY RESPONSIBILITIES

  • Manage the security access process for visiting ITW employees and other guests. Prepare appropriate badges for visitors and track valid and expired badges with vendor security guards.
  • Coordinate conference room set-ups and logistics for large on-campus meetings. Clarify requirements with meeting host and provide direction to facilities team.
  • Assist with updating and maintaining the security access system for the corporate office.
  • Assist with the onboarding and disposition of idle facilities.
  • Update and maintain files for the Facilities function
  • Manage supplies and place orders for the Facility function.
  • Complete various Real Estate department projects as needed.
  • Apply varied and moderately complex administrative procedures, methods, and techniques to support the organization, including using web portals and shared drives as tools to organize and retain data and documents.
  • Proactively identifies and leads process efficiency improvements.
  • Process vendor invoices and track budgetary expenses for department

REQUIREMENTS:

  • Bachelor’s degree, or 1-3 years of equivalent corporate real estate/ facilities experience
  • 1-3 years of experience in a corporate environment
  • Solid communication (oral/written) and interpersonal skills
  • Ability to work collaboratively and take initiative with internal and external resources to complete tasks in a fast paced work environment
  • Demonstrated project management skills
  • Must be adaptable and flexible in approach
  • Proficient in Microsoft Word, Excel, PowerPoint and Outlook skills
  • Strong multi-tasking and prioritization skills
  • Strong customer relations skills - seeks to help others and to anticipate needs
  • Ability to interact with all levels of the organization.
