Job Description

ITW is seeking a professional receptionist to provide excellent customer service to employees, candidates, vendors and customers. This highly visible role is important in ensuring a positive first impression and assisting visitors and employees in finding the correct point of contact over the phone and in person. The Receptionist performs a wide range of administrative and office support activities to facilitate the efficient operation of ITW’s corporate office.

Primary Responsibilities:

• Responsible for answering calls that come into the main telephone system (prior experience with Unify telephony preferred)
• Properly screen and direct incoming calls from the corporate lobby location
• Accurately intake and relay messages and properly refer employees, customers, board/committee members and visitors to the appropriate extension, person, and place
• Assist visitors in signing in, badge assignments and navigating the building to meet the correct people • Train all reception backups as necessary
• Provide general administrative and clerical support to the real estate team, where needed
• Ensure the main reception area is maintained and presentable at all times
• Other duties as requested or assigned by manager
• Will schedule meetings and conference rooms through Outlook
• Proven experience in delivering strong customer service principles and practices
• Strong organizational and time management skills with strong attention to detail and timely follow up
• Proven experience in successfully navigating vague situations through effective problem solving
• Strong interpersonal and communication skills with the ability to form and maintain good working relationships across all areas of the organization
• Strong sense of integrity with ability to handle confidential and sensitive information with discretion • Work closely with facilities team and on-site contractor security resources to update, maintain and comply with security policies and procedures
• Ability to be resourceful and proactive when issues arise
• Strong written and verbal communication skills
• Ability to multi-task and prioritize with minimal guidance in a fast-paced environment
• Demonstrated ability to remain calm and flexible under changing situations
• Work collaboratively with administrative assistants and other support personnel

Requirements:

• High school diploma required plus minimum of 8 years of prior receptionist experience in a fast, and growing company
• Proficient with MS Outlook, MS Office Word, Excel as well as administrative and clerical procedures
• Reliable; available to work Monday-Friday the required hours of 7AM - 3:30PM
• Ability to work independently and effectively with minimal instruction
