Position Description:
ITW is looking for a dynamic Administrative Assistant who will have a positive impact on the Operations team at its Machesney Park, IL location. As an Administrative Assistant, you will perform administrative and customer service duties for the plant. This role will assist the Plant Manager, Plant HR and Operations Leaders with various administrative duties.

The successful incumbent will have the following core responsibilities:
  • Greet and direct visitors and telephone callers to the appropriate person(s) as circumstances warrant.
  • Coordinate and direct incoming and outgoing mail and courier services.
  • Will manage plant related POs and WOs process entry into appropriate databases.
  • Will manage and prepare different production reports and correspondence on a daily, weekly and monthly basis.
  • Process wire & washer information through entire process cycle.
  • Assists with time and attendance processing for bi-weekly payroll reporting.
  • Manage the uniform program (billing, quality checks, new hire ordering, collection etc).
  • Assist with the coordination and scheduling of different events i.e, wellness activities, holiday luncheons, shoe mobile, blood drives, hearing tests, annual picnic, and other events.
  • Compile daily, weekly, monthly and annual reports of shipments and production.
  • Select/recommend and purchase of office supplies and equipment, distribute as necessary.
  • Manages the Fastenal and first aid cabinets program.
  • Maintains waste manifest and related documentation for audits.
  • Research and collect information in preparation for meetings, work projects and reports.
  • May be asked to coordinate meetings and teleconferences as required.
  • Participate in training provided by the Company.
  • Exercise initiative and judgment and make decisions within the scope of assigned authority.
  • Perform other projects and duties as assigned.
 
MINIMUM QUALIFICATIONS:

  • High school diploma or equivalent required
  • 3 to 5 years of general administrative or reception experience required
  • Computer skills demonstrated through prior work experience
  • Preference given to prior experience working in ERP system
  • Preference given to candidates with AA or AS degree
  • Strong decision making and problem-solving skills
  • Pleasant, professional manner
  • Excellent communication skills, both verbal and written
  • Strong PC skills, including proficiency with Excel, Word, Access, PowerPoint, Outlook and MVP Maintenance Work Order system or similar preferred
