Job Description

The Administrative Assistant will provide administrative support to four senior finance leaders from the following functional groups; Communications, Corporate Finance & Accounting, FP&A and Investor Relations.

Primary responsibilities include, but are not limited to;

Investor Relations Duties:

  • Coordinate investor visits, meetings, ITW site tours, investor conferences and 1:1 calls with investors and analysts. 
  • Prepare a travel packet for senior management that includes agenda, logistics and investor profiles for investor marketing trips (“roadshows”) and industrial conferences (12-14 events each year).
  • Manage a database of our “80” investors. Conduct basic data analysis.
  • Routinely check investor email box and respond to inquiries.
  • Provide administrative support and logistic details for all key investor events, including an annual Investor Day.
  • Set up quarterly earnings calls and monitor the webcasts. Manage the release of earnings-related materials. Collect analyst reports following earnings calls; collate these reports and distribute to ITW leadership
  • Maintain/update investor distribution lists in various iterations
    • Sell side analysts
    • Buy side analysts
    • Media contacts
  • Utilize FactSet and BD Corporate software to research peer groups and pull stock ownership data.

Communications Duties:

  • Work with Communications Director to maintain and update the Investor Relations website and SharePoint site.
  • Work with outside vendor to coordinate and administer the quarterly earnings webcast.
  • Responds to and handles incoming media relations calls.
  • Maintain and update general corporate resources annually (e.g. company overview).
  • Assist with special projects, including Annual Report, Annual shareholder meeting, corporate events, etc. 
  • Oversee printing and distribution of Annual Report.
  • Press release preparation for monthly/quarterly events and other related press releases.
  • Distribution of important press releases (typically quarterly releases) on the day of the release: requires early morning arrival in office for these occasions; includes distribution to the board of directors, senior management, sell side analysts, buy side investors and other constituents.
General duties:
  • Will perform general administrative duties such as preparing correspondence, receiving visitors, arranging conference calls and scheduling meetings for executives.
  • Handle department billing matters and assist with budget reconciliation where needed.
  • Arrange travel accommodations where needed and track expenses and reimbursement through Concur accounting system for the team.
  • Participates in special projects which include scheduling activities that relate to departmental events, annual controller conferences, etc.

Requirements:

  • 8-10 years of corporate administrative experience supporting executives
  • Able to handle sensitive information with the highest degree of integrity and confidentiality
  • Strong skills in Microsoft Word, Excel and particularly PowerPoint
  • Adept at analyzing data and reporting findings
  • Ability to communicate clearly and professionally
  • Solid organizational skills
  • Strong multi-tasking and time-management skills
  • Event planning experience
