Job Description


  • Process inventory invoices for payment using 3-way match of PO, receiver, and invoice ensuring all appropriate documentation and approval.

  • Process all non-inventory invoices ensuring all appropriate documentation, coding, and approval.

  • Help prepare monthly accrual for all non-inventory items.

  • Prepare checks weekly, matching invoices, obtaining signatures for checks if needed, and distributing checks accordingly.

  •  Maintain files and documentation thoroughly and accurately.

  • Verify daily inventory receiving transactions.

  • Assist with Month End close and prepare reconciliations of payables.

  • Customer, Supplier and Vendor set ups.

  • Maintain various AP spreadsheets for utilities, repairs, and maintenance.

  • Year End 1099 Filing

  • Respond to vendor inquiries and review AP statements for discrepancies, past dues, etc.,

  • Reconcile temporary labor hours and dollars.

  • Maintain customer exemption sales tax list as well as file sales tax certifications.

  • Serve as backup for A/R invoicing.

  • Respond to customer requests for invoice copies.

  • Participate in annual physical inventory.

  • Other duties as assigned.

Job Requirements


•         High school diploma or equivalent; Associates Degree in Accounting preferred.

•         5+ years of full cycle AP experience.

•         Knowledge of basic accounting procedures

•         Proficient in Microsoft Office to include Word, Excel (v-lookups, pivot tables), and Outlook

•         Ability to use personal computer, printer, calculator, fax machine, other general office equipment.

•         Strong analytical thinking, problem solving skills and an aptitude for detail and strong organizational abilities a must.

•         Must possess key leadership qualities, including flexibility, reliability, self-starter and effective team player and communicator.

•         A positive attitude focused on understanding, anticipating and responding to the needs of our customers, both internal and external to the department and company.

•         Strong analytical skills, detail oriented with an aptitude to work accurately and quickly.

•         Ability to handle multiple tasks simultaneously

•         Willingness to work overtime when necessary to meet financial reporting deadlines.

•         Manufacturing experience a plus.
