Job Description:

Due to continued growth, Hobart Service is looking for an experienced Parts Administrator to join their team in the Dallas Branch.

This position is based in the Dallas Branch under close direction of a Branch Manager. The selected candidate will be responsible for overall administration of Parts Department which includes the stocking, disbursement and inventory control of all Branch parts.  Diversified duties involving a broad knowledge of parts administration and general office functions, requiring the use of a wide range of procedures and the exercise of judgment in the analysis of acts or circumstances to determine what action should be taken within the limits of standard practice.  You will have occasional work with confidential data where the effect of any disclosure may have an impact on the business. 

General Duties:
  • Achieve departmental goals regarding parts sales and inventory accuracy.Responsible for proper distribution of parts, on a timely basis, to Field techs and customers.
  • Responsible for strict compliance with audit procedures within the Parts Department.
  • Responsible for requisitioning of parts from Company distribution centers per established guidelines and follow up on back orders to expedite deliveries to customers.
  • Responsible for assuring that the Branch receives all earned parts credits and that credits are issued on a timely basis to the Branch.
  • Responsible for proper functioning of the parts inventory control system, including adherence to Company established ordering and stocking criteria.
  • Prepare requested reports on order status, parts and material shortages and maintain accurate parts sales records.
  • Assist in hiring and evaluation of Parts Department employees as well as providing on-the-job training to Parts Coordinator or Service Clerk.
  • Assist with establishing truck inventories based on overall Branch usage, and responsible for monitoring and controlling truck inventories.Keep abreast of new products and related parts; also keep up-to-date on required parts for various modifications.
  • Handle over-the-counter parts sales to walk-in customers and assist with stocking and pulling parts.Handle mail and phone parts orders from customers.
  • Assist various job functions involved in tracking consignment and replenishment of truck inventories.
  • Handle telephone requests from Field techs.
  • Write up credits for returned merchandise and handle parts transfers to other Hobart Branches and Agencies.Assist in preparation of company audits.
  • Cycle counts/inventories
To be considered for this exceptional career opportunity you must have at least the following:
  • Accredited High School diploma, Business or trade school or GED
  • 5+ years Parts or clerical experience which includes any or all of the following: ordering, shipping, any receiving, parts sales and inventory control.
  • Handle competing/multiple priorities
  • Computer Skills: Microsoft Office products excel, Word, Outlook
  • Excellent verbal, written and interpersonal communication skills
Physical Requirements:
  • Required to sit for prolonged periods of time
  • Extensive periods of time on phone
  • Lifting 50-75 lbs with or without assistance
  • Climbing up to 8 ft with ladder
  • Kneeling, squatting, bending, pushing/pulling
  • Exposure to noise, heat, cold, slippery, wet conditions
  • OT as required
